IQGYMZ ("IQGYMZ", "we", "us", or "our") provides a cloud-based gym management platform used by gym owners and their staff to run their gyms, and by members of those gyms to manage their own membership. This Privacy Policy explains what information we collect through our website, web application, and mobile app, how we use it, and the choices you have.

By using IQGYMZ, you agree to the collection and use of information as described in this policy.

Information we collect

Account and profile information

When a gym signs up, or when a gym owner/staff account is created, we collect information such as name, email address, mobile number, and login credentials.

Member information

Gyms using IQGYMZ enter information about their own members to manage memberships, attendance, and billing. This can include a member's name, contact details, date of birth, gender, and membership/payment history, and may include fields a gym chooses to record such as blood group, occupation, or medical alerts relevant to their fitness activity. This information is entered and controlled by the gym itself - IQGYMZ processes it on the gym's behalf to provide the service.

Payment and billing information

We (and the gyms using our platform) record payment amounts, invoices, and transaction history in order to manage memberships and generate receipts/GST invoices. IQGYMZ does not itself store full payment card numbers.

Attendance and usage data

We record attendance check-ins/check-outs, and general usage data about how the platform and mobile app are used (such as pages visited and actions taken), to operate and improve the service.

Device and log information

Like most web and mobile applications, our servers automatically log certain technical information - such as IP address, browser or device type, operating system, and timestamps of requests - for security, troubleshooting, and analytics purposes.

How we use this information

We use the information we collect to:

• Provide, operate, and maintain the IQGYMZ platform and mobile app.
• Let gyms manage their members, staff, memberships, attendance, and billing.
• Send account-related communications, such as welcome emails, password resets, and service notices.
• Generate invoices, receipts, and reports requested by a gym.
• Detect, investigate, and prevent fraud, abuse, or security issues.
• Comply with legal obligations, including tax/GST recordkeeping requirements.
• Improve and develop new features for the platform.

Who can see this information

IQGYMZ is a multi-tenant platform: each gym's data is kept separate, and a gym's staff can only see the information for their own gym, according to the role and permissions their gym owner has given them. A member's own information is visible to the staff of the specific gym(s) they are a member of, and to the member themselves through their own account.

We do not sell personal information to third parties. We may share information with:

• Service providers who help us operate the platform (e.g. hosting, email delivery), under obligations to protect that information.
• Login/authentication providers you choose to use to sign in (e.g. "Login with Facebook"), if and when that option is enabled.
• Authorities, where required by law, regulation, or a valid legal process.

Data retention

We retain personal information for as long as the related gym account is active, and for a reasonable period afterward as needed to comply with legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. A gym owner may request deletion of their gym's data subject to these obligations.

Data security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your choices and rights

Depending on your role and applicable law, you may have the right to access, correct, or request deletion of your personal information. Members should contact the gym they are enrolled with, as that gym controls its own members' records. Gym owners/staff can contact us directly using the details below.

Children's privacy

IQGYMZ is intended for use by gym owners, staff, and adult members. Where a gym records information about a minor member, it does so as the data controller for its own members and is responsible for obtaining any consent required under applicable law.

Changes to this policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of IQGYMZ after changes are posted means you accept the revised policy.
